Job duties include:

  • Draft discovery responses for attorney review, document review and organization, prepare documents for production, hard copy and electronic.
  • Analyze and interpret technical information received from clients and translate for reports and discovery responses.

  • Coordinate document productions.
  • Prepare privilege logs.
  • Prepare and manage exhibits for depositions, briefs, hearings, mock trials, and trials.

BSP Law is a boutique litigation firm with a national practice seeking an Executive Legal Administrative Assistant. The ideal candidate will have prior experience in the legal field supporting partner in charge or managing partner and others in leadership. Intense administrative responsibilities, heavy scheduling of all appointments and meetings, email and correspondence reviews, client contact, preparation for internal and external client meetings, itineraries, travel and community activities. Must be assertive and confident, great discretion, with a proactive work style attuned to schedules and preparing files in advance of meetings. Exceptional secretarial skills, computer skills and proofreading skills are needed.

Specific Duties Include:

  • Manage and maintain calendar and assist in meeting deadlines. Schedule appointments and meetings, schedule court reporters for depositions, arrange for conference rooms, and communicate information to all respective parties.
  • Assignment involves multi-tasking to handle partner’s administrative functions, calendaring, correspondence, and client contact requiring a high degree of discretion, executive secretarial and technical skills.
  • Generate, prepare, and organize documentation, binders and forms requisite to management of the litigation practice area, such as briefs, subpoenas, motions, notices, orders, interrogatories, and other file materials.
  • Knowledge of electronic court filing procedures.
  • Ensure all pertinent dates are docketed. Index all pleadings. Date stamp incoming mail, pleadings, deposition notices, etc. ensuring documentation with deadlines are docketed and calendared.
  • Assist with trial preparation, depositions, and other litigation-related responsibilities.
  • Create, edit, and compile large, complex, heavily formatted documents as well as prepare correspondence, memoranda, and other legal documents from draft or dictated text utilizing MS Word. Proofread all documents for accuracy and completeness.
  • Input attorney time utilizing the firm’s time entry software on a daily basis.
  • Open new client matters and request conflict of interest checks. Generate new files and maintain client, chron, and general files assuring that filing is kept current. Prepare files to be closed utilizing proper records storage procedures. Conduct periodic review of inactive files for possible storage of files. Maintain up-to-date listing of client/matter names and numbers for each attorney/legal personnel.
  • Make travel arrangements, prepare itineraries, and compile documents for travel-related meetings.
  • Maintain knowledge of Firm operating procedures, departments, and support areas.

Required Qualifications:

  • High school diploma or equivalent and 5+ years of progressive legal secretarial experience or an equivalent combination of education and experience.
  • High degree of confidentiality and discretion is required.
  • Prior experience in the Litigation practice area with applicable knowledge of court filings desired.
  • Proficiency with office technology, conferencing equipment, specifically Zoom and Teams, and Microsoft Office software.
  • Ability to prioritize, show strong attention to detail, and work efficiently in a fast-paced work environment where strict deadlines are common.
  • Excellent written and verbal communication skills.

BSP Law is a boutique litigation firm with a national practice seeking an Office Services Clerk to work between 24-30 hours per week. The ideal candidate will work closely with attorneys, paralegals, legal assistants and other office personnel to assist with the operation of the firm. This candidate will be someone who provides general assistance whenever needed throughout the office.

Job duties Include:

  • Process all copy and scanning projects as well as handling assembly of trial-related materials as requested by firm personnel.
  • Assist in the processing of all incoming and outgoing firm mail.
  • Assist with the ordering, receiving and organizing of office supplies—taking note of when orders need to be placed.
  • Maintain a clean and orderly working environment, organizing as needed.
  • Complete trips to stores, courts, or other legal offices as requested.
  • Stay up to-date with all meetings, conferences, etc. on firm calendar and set up accordingly as well as provide front desk coverage as needed.
  • Provide hospitality services for all firm meetings, following requests for food and supplies. Responsible for set up and clean up afterwards.
  • Assist in maintaining compliance with CDC protocols related to Covid.

Required Qualifications:

  • High school diploma.
  • Proficiency with office technology, conferencing equipment, and Microsoft Office software.
